Give the UniFi and Aruba bidders the same floor plans, building materials, occupied areas, device counts, and application requirements. Distinguish coverage from capacity: detecting a network is not the same acceptance test as supporting the expected users and traffic. Ask each bidder to identify survey assumptions, access-point placement, cabling, uplinks, and power requirements rather than comparing access-point counts alone.
Exercise authentication and roaming workflows
List the client devices, guest access rules, identity services, and applications that must work as people move through the building. Request a demonstration using representative devices and the proposed configuration. Record which functions need additional software, integration work, or administrative effort. A proposal should explain how staff will resolve connection failures, not only show a feature checklist.
Agree on measurable Wi-Fi acceptance
Set project-specific coverage, capacity, and application tests before installation, with the test locations and operating conditions recorded. Ask who revisits placement or configuration if the agreed tests fail and what support is included afterward. Choose the design and service scope that can be verified in your facility; neither brand name nor a generic speed claim substitutes for those results.
